Executive Personal Assistant

JOB DESCRIPTION

Our tourism consultancy, development and investment office is looking for an accomplished and ambitious PA to join their team as PA to the CEO and Senior Partners. This role will also involve some ad-hoc support to Board Members.

With over 3yrs of solid experience within such a role and minimum a degree in business or administration [or similar qualification no less than a second upper], you will bring with you an unparalleled level of ‘attention to detail’, near zero level or error and an ability to think on your feet.

 

Main duties and responsibilities

  • Extensive diary management across time zones.
  • Complex travel arrangements, utilising both commercial and private flights.
  • Making bookings and reservations, sometime last minute.
  • Coordinating with the Board of Directors and the CEO.
  • Liaising with management team to ensure calendars align.
  • Managing the CEO’s residence in Ghana and UK.
  • Bill paying, invoicing, budgeting and basic bookkeeping.
  • Events management
  • Helping with administration for the CEO’s business affairs
  • Recruiting for staff
  • Project management and research
  • Personal shopping
  • Acting as a first point of contact: dealing with correspondence and phone calls.
  • Managing diaries and organising meetings and appointments and managing Junior PAs access to the managers/executives.
  • Booking and arranging travel, transport and accommodation.
  • Organising events and conferences.
  • Reminding the manager/executive of important tasks and deadlines.
  • Typing, compiling and preparing reports, presentations and correspondence.
  • Managing databases and filing systems.
  • Implementing and maintaining procedures/administrative systems.
  • Liaising with staff, suppliers and clients.
  • Collating and filing expenses.
  • Conducting research on behalf of the manager.
  • Organising the manager’s personal commitments including travel or childcare.
  • Previous PA experience supporting c-suite level/senior leadership.
  • Experience of reporting and data management.
  • Ability to navigate complex situations with diplomacy
  • Ability to produce quality presentations and briefing packs.
  • Exceptional attention to details and planning skills, with proven ability to multitask.
  • Good level of literacy, IT and numerical skills.
  • Excellent organisation skills and good capacity to keep track of all actions.
  • Ability to work under pressure and coordinate projects.
  • Ability to build relationships with people at all levels.

SALARY – Ghc3000 – 4000 Gross
